Forge — forms & processes
Forge lets you build the forms and approval workflows Hubtoll doesn't ship out of the box — with no code. Design a form, attach a workflow, publish, and your team fills it in while you track every submission.
What Forge is
Forge is a no-code form & process builder. From the Forge item in the console you design your own forms — grouped into sections, with the field types you need — attach an approval workflow, and publish. People then fill the form in, and every submission is tracked through its workflow.
Think of it as the place to build the everyday processes that don't have a dedicated module: a visitor pass, an asset request, a travel authorisation, an incident report — whatever your organisation runs on. Forge uses the same approval engine, roles and audit trails as the rest of Hubtoll, so a process you build behaves exactly like one Hubtoll ships.
Who can use it
Two things decide what a person can do in Forge — designing versus filling:

Super admin always has full access. Approving a submission is controlled by the workflow you attach, not by a Forge permission — whoever the workflow routes a step to can act on it.
Designing a form
The Studio is a three-pane designer:
- Palette — drag field types onto the canvas: short and long text, number, date, single- and multi-select, radio, checkbox, rating and file upload.
- Canvas — arrange fields into sections and reorder anything with drag-and-drop.
- Inspector & live preview — configure the selected field (label, help text, required, options) and see a read-only preview update as you build.
Data-bound dropdowns keep options accurate without manual upkeep: a field can pull its choices from your People, your Departments, or any external API you point it at.
Attaching a workflow
A process can route each submission through a multi-stage approval chain — the same workflow engine that powers Leave, Budgets, invoices and more. Configure who approves, in what order, and each submission will route itself to the right people. A process with no workflow simply collects submissions.
Publishing & filling
You design safely in a draft and publish when it's ready. Only published fields appear on the live form, and every submission pins the exact published version it was filled on — so changing a form later never rewrites older submissions. Share the process, and any licensed member you've given access can fill it in.
Tracking submissions
Every submission is recorded with who filled it, the answers, and — where a workflow is attached — its current stage and full action history. Open the process's submissions to see them all and where each one stands.
Custom fields on built-in modules
Forge doesn't only build standalone processes — it also extends the modules you already use. From a module's Forge template page you can add your own “Additional information” fields to a record. Those answers are captured on the create/edit form, shown on the detail and approval views, and are searchable in the list filter. This works across Leave, Employee Records, Budget, Onboarding, Recruitment and Appraisal.
