Exit management

What it is

Exit management handles employee offboarding. A staff member raises an exit process (a leaving request), which then moves through a configurable approval workflow. It captures the intended last working day, the reason for leaving, whether company property has been returned, and any suggestions for improvement.

Screens

• Dashboard — your own exit request first, with a "New exit process" button; and, for managers, headline numbers (total exits, pending, approved, property outstanding) plus charts (by status, over the last six months, property returned).
• Exit requests — one list for everyone: All shows the exits you raised (the whole company's if you hold an exit permission), and Awaiting me shows exits waiting on you. Filter and share any view.
• Approval detail — one exit's full details and the approval actions.
• My exit — your own exit request(s).
• Workflow (BPM) — the exit approval chain.

Raising an exit

Click New employee exit process and complete the form (all fields are required):

• Last working day (weekends are excluded in the date picker).
• Whether you've returned all company property.
• Your reason for the exit.
• Any suggestions for company improvement.

The "property returned" answer feeds the dashboard's outstanding-property tally, and the improvement suggestions serve as a lightweight exit-interview note.

Approvals

Exits run on Hubtoll's approval workflow. On the approval detail screen an eligible approver can Approve, Reject or Redirect, with a comment. Approval advances step by step and completes when the final step signs off. You need an active exit workflow before an exit can be raised; if a workflow needs no approval, the exit is approved on submission.

Amending an exit

The person who raised an exit can edit it while it's still editable (this depends on the stage and the workflow's "editable before approval" setting). An already-approved exit can be amended, which opens an Update approval so the change is reviewed. Rejected exits generally can't be edited.

Permissions

All actions require an active HR licence.

Good to know

• All four form fields are required, including the improvement note and the property-returned answer.
• Weekends can't be chosen as a last working day.
• Approving a middle step keeps the exit pending until the final step completes.
• You can't edit an exit you didn't raise; an approved exit can only be amended by the original person.
• The dashboard's trend chart covers the last six months.
